About Community Storytellers

Community Storytellers elevates the narratives of Chicago residents by adapting community-driven stories into short films.

With the help of film professionals, three participants are selected to translate their stories into a motion picture while organizing a series of meaningful events that mobilize their neighborhoods. This yearlong process culminates in a powerful film showcase that celebrates the legacy of their community — past, present, and future.

Job Description

Full Spectrum is seeking applications for a versatile Event Production Assistant who is passionate about leveraging film and media as a tool for social change. Under the supervision of the Senior Programs Manager (SPM), the Event Production Assistant will help plan and execute the project ideas of all three participants of the 2023-24 Community Storytellers cohort. These projects, unique to each Storyteller's film, will vary in size and scope, including an intimate dinner, musical jam session, live punk show, panel discussions, a gallery exhibition, an art installation, a community screening, and a film production celebration. DEADLINE TO SUBMIT: FRIDAY, JULY 19 at 12:00 PM CST

Responsibilities

  • Monitor and update event tracker to ensure tasks, timelines, and deadlines are met.

  • Assist with monitoring event budget/actuals to ensure expenses are within the allocated budget.

  • Coordinate event logistics with internal and external teams to ensure all event needs are met including AV, marketing, staffing, supplies, catering, registration, and more.

  • Compile event materials, such as name tags, swag, flyers, programs, and more.

  • Conduct outreach and disseminate print and digital event information to actively encourage community members to participate.

  • Compile run of shows with key information and schedule of activities, deliveries, load-in/-out, etc.

  • Provide on-site event support including set-up, vendor coordination, tech check, check-in, greeting guests, and teardown.

  • Maintain open and effective communication with SPM and collaborators, providing feedback and support throughout the event planning process.

  • Other duties as assigned.

Guidelines & Eligibility

Apply if you:

  • are 18 years old and above.

  • currently reside in Chicago.

  • have at least 3 years of experience in event production, event planning, and/or community organizing especially as it relates to gallery exhibitions, live entertainment, dinners, and multidisciplinary art.

  • possess strong organizational skills with the ability to prioritize and manage multiple projects simultaneously.

  • possess strong communication and interpersonal skills.

  • are comfortable utilizing digital collaboration tools (e.g. Notion or similar, Slack, Google Workspace, etc.).

  • thrive in a collaborative and solution-oriented environment.

  • have the ability to travel locally across Chicago to visit event spaces, conduct supply runs, and more.

  • possess Spanish fluency (speaking, reading, and writing); preferred, but not required.

Work Environment

The event planning process is a collaborative endeavor that can be conducted both virtually and in-person. Office hours flex between Monday - Friday from 9:00 am - 6:00 pm with occasional nights and weekends around events.

Compensation

$40/hr for up to 250 hours of work between early-August to late-November. Weekly work schedules will vary based on event needs and timelines.
