Post-Production Coordinator
Full Spectrum Features NFP seeks a full-time Post-Production Coordinator who is passionate about racial/gender justice and the power of cinema and storytelling to effect social change. This position plays a crucial role in managing the post-production process and supporting day-to-day office operations. As a Post-Production Coordinator, you will be responsible for overseeing project timelines, managing assets, coordinating team schedules, and ensuring efficient workflows. A successful Post-Production Coordinator will be proactive, able to meticulously track and handle simultaneous projects, and communicate effectively. The ideal candidate should be highly organized, detail-oriented, and capable of juggling multiple tasks and deadlines in a fast-paced, collaborative environment.
The ideal candidate will have experience in office management or administrative support, preferably in a film or video production environment. We are aiming to invest in a long-term hire.
RESPONSIBILITIES:
Maintain and build strong relationships with clients, ensuring clear communication throughout the post-production process.
Track and manage both internal and external scheduling on staff calendars, ensuring availability is communicated clearly to all parties.
Attend development meetings and help visualize slate schedules to align the team with project goals.
Oversee the submission process for new projects, presenting them to the Post Supervisor for consideration.
Attend team meetings, take detailed notes, and circulate action items and follow-up tasks to keep the team aligned.
Work with the Post Supervisor to manage the purchasing of office equipment as needed.
Coordinate meetings and finishing sessions, adjusting schedules to accommodate changes or client feedback.
Develop and implement systems to improve project management, communication, and team efficiency, including research into new tools and processes.
Maintain and update key platforms (Google Drive, Notion, Monday.com, LastPass, calendars, contact lists, and manuals) to ensure they are organized and accessible to the team.
Maintain an organized Google Drive project space, ensuring all post-production resources are readily accessible.
Oversee the smooth handoff of assets between the team and clients.
Aid in tracking the progress of post-production for all projects, keeping the team and clients informed on status updates and milestones.
Conduct bi-weekly check-ins with the Post Supervisor to track progress and address any potential issues.
Use BluBird templates to build and send contracts to clients and partners as needed.
Ensure proper handoff of assets at each stage of post-production and conduct quality control (QC) to ensure high standards are met.
Track project financing, ensuring that payments are collected and distributed as needed. Follow up on outstanding invoices or payments.
Work with the Production team and Post Supervisor to compile credits documentation and ensure all necessary credits are accurately recorded.
Assist with internal editing projects as needed, contributing to team tasks and timelines.
QUALIFICATIONS: The ideal candidate will be organized, prompt, professional, eager to learn, and have exceptional communication and teamwork skills.
Experience in office management or administrative support, ideally in a creative or media-related environment.
Familiarity with post-production software (e.g., Adobe Premiere Pro, After Effects, Photoshop, DaVinci Resolve, ProTools) and media management tools.
Experience with Frame.io and Google Drive.
Experience with Google Drive Suite; sheets, slides, and forms.
Exceptional organizational skills with a keen eye for detail. Ability to anticipate and address potential issues proactively to ensure the smooth running of projects and office operations.
Must be located in Chicago, IL.

COMPENSATION: $40,000-$45,000

JOB LOCATION:
Full-time staff roles at Full Spectrum are typically hybrid: 40% in-person, 40% remote, 20% flex. Full Spectrum Features has Chicago offices in Lincoln Park and North Lawndale, with most hybrid, Chicago-based staff working two days per week in-office.
